Digital automation is brilliant for speed, but when it comes to the final stages of winning an instruction, the human element is everything. When a vendor is ready to sign an Agency Agreement, they aren’t partnering with a software platform, they are partnering with the specific agent who stood in their living room and valued their home.

Award-winning Cambridge agency Cooke Curtis & Co know that in a premium market, maintaining that personal connection right up to the dotted line is vital.

They challenged the Greenhouse OS bespoke services team to ensure that when Agency Agreements are sent out for a signature, the unique connection between their valuers and their clients is preserved.

The Challenge: The faceless compliance trap

Most automated platforms fall short when generating official compliance documents like Agency Agreements. They typically sign off the contract with a generic company footer or send it from a faceless, central office alias.

For an independent agency like Cooke Curtis & Co, this setup didn’t feel right. It risked:

  • Diluting the trust built during the face-to-face valuation meeting.
  • Creating a cold, corporate feel at the exact moment the client is making a big commitment.
  • Adding friction if a client has a quick question about the contract and wants to reply directly to the agent they know.

The bespoke solution: Dynamic static signatures for agreements

We configured a bespoke update to their Greenhouse OS ecosystem, introducing Dynamic Static Signatures that apply automatically based on who owns the instruction.

How it works:

  1. The Valuation Owner Match: The moment an Agency Agreement is generated and prepared for signing, Greenhouse OS automatically scans the system to identify the designated Valuation Owner.
  2. The Hardcoded Rule: Instead of dropping in a generic company sign-off, the system pulls that specific valuer’s custom, hardcoded signature and direct contact details.
  3. The Personal Touch: The agreement is finalised and sent out featuring the name and contact info of the exact agent the client has been dealing with, keeping the relationship front and center.

The impact: Compliance with a personal stamp

By implementing this tailored feature, Cooke Curtis & Co get the best of both worlds: the flawless speed of automated contract generation and the irreplaceable trust of personal service.

  • Clear Communication: Clients know exactly who is sending the agreement, making them more comfortable signing it quickly.
  • Direct Access: If the vendor has a query about a clause in the agreement, the contact details are right there, routing the conversation straight back to the agent who knows them best.
  • Effortless Consistency: Valuers don’t have to waste time manually updating contract templates or typing out their details every time; the system handles the heavy lifting perfectly.

“This gives us a flawless way to sign off our Agency Agreements with hardcoded signatures based entirely on who the Valuation Owner is. It keeps things beautifully personal exactly when the contract is on the line.”
