Continuous improvement is at the heart of the Greenhouse OS ecosystem. We’ve pushed a few updates to sharpen performance and squash some recent bugs this week.


🌟New Features

Digital Negotiator now books valuations!

We’ve made some further improvements to our Digital Negotiator including the ability to book valuations. We’ve added end-to-end support for Digital Negotiator ‘book valuation’ conversations across both sales and lettings.

Changes that enhance both the Sales and Lettings experience:

  • The following On The Market triggers may pitch a valuation to the client if the org contains the contact information for the property. Conversations are pitched as sales or lettings valuations for the following scenarios:
    • Price Reduction
    • 4/8/12/16 week slow mover properties
    • Sale fall through
  • For the above On The Market scenarios they are also supported by their own accompanied trigger context prompts giving you granular control over every conversation.
  • We’ve made improvements to Digital Negotiator response times.
  • Sales and lettings conversations can be enabled/disabled individually per team.
  • Opening conversation messages are now fully customisable and controlled via prompt instructions. E.g. “Introduce yourself as Derek from Greenhouse Estate Agency”.
  • Improvements to models and training data, enabling Digital Negotiator to follow more complicated instructions more reliably and making conversations feel ‘more human’.
  • Team settings can control the pitch-cooldown period. If a cold-pitch has been initiated with the client e.g. via an On The Market data update, then another cold-pitch will not occur within the specified cooldown period. This does not affect enquiries and client initiated conversations – a valuation enquiry conversation will still start within the cooldown period because the conversation is initiated by the client.

Extra changes that enhance the Sales experience:

  • When a viewing is booked – the search record is used to identify valuation opportunities and automatically pitch a valuation to the client after they have booked their viewing. Works for existing and new clients. Only pitches sales valuations.
  • Portal valuation enquiries can also be handled by digital negotiator and contact the client immediately when the enquiry is received.
  • Digital Negotiator can handle address updates. Digital Negotiator can update a client’s property ownership and address in the org and then pitch a valuation to the address the client says they live at.
  • The default prompt contains instructions to convince buyers that valuations are important, as well as saying that agency fees can be discussed during the valuation and also has instructions for how to handle clients under Sole Agency Agreements. We recommend tailoring these to suite your business.

🐛Bug Fixes

Mortgage contacts are now created automatically

We’ve fixed an issue where related mortgage contacts were not being created when a mortgage record was saved with an associated contact. This means mortgage records now carry the right linked contact information automatically, reducing manual follow-up and helping keep records complete.

Rightmove listing images are handled more reliably

We’ve improved how listing media changes are saved and synced so image updates are less likely to appear duplicated on Rightmove. This should reduce the need for manual workarounds and help listings display more accurately after media changes.

Previewing emails now send more reliably

We’ve improved the email sending flow for Previewing so it chooses the sender address more consistently and handles errors more safely. It now checks the team email first and falls back to the user email if needed, which helps prevent Previewing messages from getting stuck or failing to send.

Viewing owner updates correctly when the assigned agent changes

When you change the “Accompanied By Agent” field on a Viewing, the Owner now updates to match the selected agent. We’ve also added a safeguard so clearing that field won’t accidentally overwrite the Owner with a blank value, which helps keep records accurate.

Flexible Fees calculator now shows the correct sent status for percentage fees

The Valuation assistant’s fee calculator now recognises percentage-based fees as set, not just fixed fees. This means the status indicator will show correctly when a fee has been entered, helping avoid confusion when reviewing whether a valuation fee has been sent.
